Happy Friday Everyone.
Hello Coral Tree Plaza Community.
Vent Pros – Additional Days:
As I mentioned in one of my earlier emails, Vent Pros only provided a limited number of spots for vent cleaning. Thankfully all of you were eager to get this work done and took them up on the offer for vent cleaning. The downside is that we had more folks wanting to sign up than available spots. Given this, Vent Pros has agreed to add a day for homeowners to sign up. They are unfortunately quite busy right now and do not have anything available right now. They are going to get back to me with a confirmed new date at which point I will be sure to send out a separate email and reminder to the association so you can sign up for vent cleaning. Thank you to everyone who expressed interest in having this work done.
Emergency Assistance Resident List:
During a life-threatening emergency at the building (fire, earthquake, etc.) the association has a list of residents who will need assistance in evacuating. This list consists of the homeowner’s name, unit, and cell phone/landline number that they will be contactable with during an emergency. So for example: if there were to ever be a fire at the building and the firefighters needed to clear the building, they would check this list first and then go directly to those units to assist homeowners and residents who are unable to flee. Bear in mind that during a fire, the elevators will not work and stairs are the only way out. We post these lists at both of the fire panels located in the SDGE rooms underneath the East and West buildings because this is where firefighters will first go when they enter the building for emergency response.
If you believe that you would need assistance if an emergency were ever to occur, please send me an email with your first and last name, unit number, and phone number you want on the list.
ACV Rebuild – East Building:
After the water heaters broke down two weeks ago we found that the automatic control valves to the East building in the low zone were beginning to “act up”. Something about the hot water going down set off the valves and they now need to be rebuilt. If you live in the East building from floors 1-9 you have likely experienced some fluctuation in temperature throughout your unit in different fixtures. Many owners have reported this issue to me, so I have asked Pro-Tec to come out onsite and rebuild the valves. I will notify the East building specifically when I hear back from the plumbing department on the scheduled work, we do not anticipate any disruption to the water supply during the rebuild process.
Accounting Software Update at Action:
Last weekend the software development and information technology team stayed at the corporate offices in Irvine at Action to transfer all of the company accounting departments into new accounting software. This transfer was about 13 months in the making and took quite a great deal of time and effort. Just for a little bit of context, Action manages well over 200 associations throughout California, they vary in size, and each association processes approximately 5-10 invoices per day on average, each association takes in monthly dues from all the owners, and each association also updates the records of dues payments into our resident portal so that when you log on to your account, you can see your payment history.
That’s a lot of data. Like a LOT of data. We switched over to our new software and the team at Action will continue to work on transferring data into the system over the coming month. What this means for you as an owner is that when you log on to the resident portal to pay your dues or look at your account, you will likely only see information for October in your account. All of the historical data from your past accounting is being loaded in slowly but surely. All account history will be available by November 1st. So there is no need to fret if you log on and only see one month’s worth of dues payments on the portal website. It will all be there soon enough.
